1. Data Controller

2. Data Collected

We collect personal data in the following circumstances:

• Order and checkout: first name, last name, email, phone number, country, and billing information processed via Stripe.
• Contact form: name, email, and any information included in your message.
• Documents for translation: content of source documents, which may contain personal or sensitive information. Treated as strictly confidential and used only for the service requested.
• Technical data: IP address, browser type, pages visited, collected via server logs and cookies.

3. Legal Basis for Processing

• Contract performance (Art. 6(1)(b) GDPR): processing necessary to provide the translation services ordered.
• Legal obligation (Art. 6(1)(c)): Italian tax, invoicing, and commercial law requirements.
• Legitimate interests (Art. 6(1)(f)): system security and fraud prevention.
• Consent (Art. 6(1)(a)): analytics cookies.

4. Use of Data

Personal data is used exclusively to process and fulfil orders, communicate about order status, issue invoices, respond to enquiries, and maintain site security. We do not use data for marketing or share it with third parties except as required to fulfil the service (Stripe for payment) or by law.

5. Payment via Stripe

Payments are processed by Stripe Payments Europe, Limited. When you proceed to payment you are redirected to checkout.stripe.com. SenseTranslations does not store or access your card details. Stripe’s privacy policy: stripe.com/privacy.

6. Document Confidentiality

Documents submitted for translation are treated as strictly confidential. Shared only with the assigned translator, who has signed a project-specific NDA. Documents are stored on secure, non-cloud systems and deleted within 30 days of delivery unless otherwise agreed.

7. Data Retention

Order-related personal data is retained for 10 years in accordance with Italian civil and tax law. Contact form data is retained for 12 months unless an order relationship develops.

8. Your Rights

Under the GDPR you have rights of access, rectification, erasure, restriction, portability, and objection. To exercise these rights: info@sensetranslations.com. You may also lodge a complaint with the Garante per la Protezione dei Dati Personali (garante.gov.it).

9. International Transfers

Data is processed within the EEA. Where transferred outside the EEA (e.g., by Stripe), transfers are protected by Standard Contractual Clauses in accordance with Chapter V of the GDPR.
